Reviewing performer applications

3 min read Updated August 4, 2026Last reviewed October 9, 2026

Once an opportunity is Live, performers apply to it. Their applications appear on the Applications tab of that opportunity — open it from Marketplace → Opportunities and click the title. The tab carries a count of the applications received.

The one rule to know up front: you must Select an application before you can convert it into a booking. The Convert to Booking button is offered on shortlisted applications too, but converting one that isn't selected fails with "Select the application before converting it to a booking."

If there are no applications yet, the tab says so, and reminds you that applications only arrive once the opportunity is approved and live. Nothing is wrong — see posting an opportunity for what has to happen first.

What each application shows

  • The performer's name, photo and city.
  • The service they applied with, if they picked one.
  • Their self-declared availability for your date.
  • Their rate. An application that carries no fixed price shows Quote instead of an amount — that means the performer hasn't named a number, not that it's free.
  • Their pitch message, in full.
  • When it arrived, and a status badge.

Applications are listed newest first. There is no sorting or filtering on this tab.

Shortlist, Select, Decline

Three actions, all needing the Marketplace · Edit permission:

  • Shortlist — a marker for "worth a closer look". It changes nothing else.
  • Select — the one you want. This is the prerequisite for converting to a booking.
  • Decline — you're not proceeding with this performer.

None of these three is a booking, and none of them moves money. Selecting does not reserve the performer's date — only the booking does that.

A note on the badges: a newly-arrived application reads pending, and a declined one reads not selected. Those are the underlying record's own words showing through rather than tidied labels. Shortlisted, Selected and Withdrawn display as you'd expect. Withdrawn means the performer pulled their own application.

Converting a selected application into a booking

Convert to Booking is the step that turns a marketplace application into a real, payable booking. It needs the Bookings · Create permission — a different permission from the review actions above, deliberately, because it creates a money record. Your organization also has to be verified, exactly as when posting — no subscription is needed.

The form asks for four things, all optional except the amount you're agreeing to:

  • Location — one of your organization's locations.
  • Space — narrowed to spaces at the location you chose.
  • Program — if this booking belongs to one.
  • Agreed amount — in the currency of the performer's bid, and labelled with it; pre-filled with the performer's rate where they gave one. It must be at least $100, or $140 CAD in Canadian dollars.

Converting does three things at once, and all three are permanent:

  1. Creates an org booking for that performer at Pending Payment, priced from the agreed amount, with ARRIVE's commission, the performer payout and the client service fee calculated onto it. You are taken straight to the new booking.
  2. Marks the opportunity Filled and takes it off the marketplace.
  3. Declines every other application that was still in play.

If someone else converted first, or the opportunity is already closed, you'll get "This opportunity is already converted or closed." and nothing is changed.

Payment is a separate step on the booking itself. Converting does not charge anything.

What this does not do yet

  • There is no undo. Converting cannot be reversed from the workspace, and the applications it declined cannot be un-declined.
  • Declining is not reversible either — there is no "reconsider" action.
  • No messaging a performer directly from an application card. The opportunity has a Messages tab, but the application card itself carries no reply button.
  • No notification to you when a new application arrives.
  • The opportunity's Marketplace matching, AI and Analytics tabs are labelled "Soon".
