An opportunity is an entertainment need you post to the ARRIVE marketplace so professionals can apply to it. Find it under Marketplace → Opportunities. You need the Marketplace permission to open the page and Marketplace · Create to post.
Posting is free. When you book a professional, you pay the agreed amount plus ARRIVE's 10% service fee. Your organization needs to be verified before it can post.
Posting and review
When you click Create opportunity, it goes to ARRIVE for review with the status Awaiting Review. Professionals can't see it yet. Once ARRIVE approves it, it's Live on the marketplace and matching professionals can find it and apply.
Some professionals may see it up to 48 hours before others; ARRIVE decides this at review.
Every opportunity belongs to an event
Post from an event — Post an opportunity on the event's Next steps card — and the opportunity belongs to that event: it shows on the event's Next steps card, and the opportunity's Overview names the event and links back to it. The form starts with the event's date, start time, location and space, and its date stays the event's. Post from Create Opportunity and ARRIVE creates the event at the same time, named after the opportunity, so it's on your Calendar from that moment. A booking made from the opportunity lands on its event.
The form
Title, Event date, Start time, Duration (hours) and at least one category are required. Everything else is optional.
- Location — one of your organization's locations. It sets the city professionals see and the budget's currency.
- Space — optional: one of that location's spaces (for example, Main Hall). Professionals see it after your venue's name. Changing or clearing the location clears the space.
- Duration (hours) — how many hours you need the professional. For an event over several days, give the hours for one day.
- Budget — a minimum and maximum in your location's currency (CAD for a Canadian location, USD for a US one). To add a budget, choose a location first.
- Entertainment Requirements — the categories of professional you're looking for, and optionally specialties within them. Professionals are matched by these, so choose at least one.
Times are in your location's local time; with no location, in your organization's time zone. Professionals see the time with its zone — and their own time too when theirs is different, for example 7:00 PM EDT (4:00 PM your time).
Each opportunity keeps the time zone it was posted in. Its time is always shown in that zone, even if the location's time zone changes later, and a booking made from it keeps the same time.
Changing an opportunity
You can edit an opportunity until it's approved. While it is Awaiting Review, or after ARRIVE asks for changes, open it and choose Edit; saving sends it back to ARRIVE for review. Editing keeps the opportunity's time zone. If you move it to a location in a different time zone, the form tells you before you save — for example, Times on this request will be in ET.
Once it's Live, contact support@arrivebooking.com and we'll correct it. While a booking request is out for it, its date, time, length and place stay as they are.
When professionals apply
- You're told by bell and email each time a professional applies.
- Open the opportunity and go to Applications to read their application.
- Choose Send booking request. Pick the location — and, if it has spaces, the space (for example, Main Hall) — and confirm the amount. Use Shortlist to mark the ones you like. The booking lands on the opportunity's event. If its time or place would differ from the event's, you're asked whether to Update the event to this booking's time and place, Attach anyway (the event keeps its own time), or Make a new event. If the event was cancelled or archived, post the opportunity again for a new date.
- The professional accepts. The opportunity then shows Pay to confirm until you pay, then Booked, and anyone else who applied is told. If they decline or don't answer in time — 7 days, or 48 hours before the event if that's sooner — you can send a request to someone else. If you cancel or archive the opportunity's event, a request the professional hasn't answered yet is withdrawn and they're told, and the opportunity closes: it shows Cancelled (Closed if you archived the event) and takes no more applications. A booking that is awaiting payment or already paid stays, and the opportunity keeps showing it — cancel it from its own page.
- You pay to confirm the booking by the date shown on it. If it isn't paid by then, the booking closes and the professional's date is released.
What your team is told
Everyone on your team who can edit opportunities gets a bell and an email when:
- ARRIVE approves it — Your opportunity is live;
- ARRIVE asks for changes, doesn't approve it, closes it to new applications, or removes it;
- a professional applies.
Status labels
- Awaiting Review — with ARRIVE for review; professionals can't see it yet.
- Changes Requested — ARRIVE asked for a few changes; edit it and save to send it back.
- Live — on the marketplace and taking applications.
- Pay to confirm — a professional accepted your booking request; pay by the date shown on it to confirm the booking.
- Booked — you paid, and the booking is confirmed.
- Booking cancelled — the booking made from it was cancelled. You can post it again: Post again starts the form from this opportunity — its title, location, space, length, budget, description, categories and start time — and keeps its event while that event is still ahead and hasn't been cancelled or archived.
- Not paid in time — the booking wasn't paid by its pay-by time, so it closed and the professional's date was released. You can post it again.
- Cancelled — you cancelled its event, so the opportunity closed and takes no more applications.
- Closed — you archived its event, so the opportunity closed and takes no more applications.
- Closed — ARRIVE closed it to new applications; the email you received gives the reason. You can still book from the applications you already have.
- Ended — it was cancelled, or its date passed with nothing booked. It's the same word the Events list uses for an event whose date passed with nothing paid.
- Rejected — ARRIVE didn't approve it; the email you received gives the reason.
- Removed — ARRIVE took it off the marketplace; the email you received gives the reason.
On an opportunity's Overview, Live to professionals shows Yes or No.
