Your organization runs on one subscription that covers the whole organization — every location and every space, however many people you invite. There is no per-seat or per-venue charge.
The subscription is separate from what you pay performers. Booking charges are handled per booking, when a booking is confirmed.
Plans
- Free — $0.
- Pro — $29 per month or $290 per year (two months free), USD, plus applicable tax. Tax is added at checkout.
- Enterprise — Running several venues? Talk to us about invoice billing, a larger AI allowance and help getting set up. Contact us.
Billing shows the current prices, and what it shows is what checkout charges.
Who can open the Billing page
Billing needs the Settings · Administer permission.
This is narrower than most people expect, and worth flagging: the organization's permission matrix does list a Billing module, but that is not what opens this page — access to billing is bundled into the highest level of Settings. In practice that means your owner and anyone you have made a full administrator. A member without it sees "You don't have access to billing for [your organization's name]. Ask an organization admin."
You reach it at Settings → Billing.
Starting a plan
You must be verified first. Checkout refuses an unverified organization outright: "Your organization must be verified before you can subscribe." See Getting your organization verified.
Once verified, the Pro plan's Subscribe monthly and Subscribe yearly buttons appear, and each opens a Stripe Checkout session. An organization can only hold one live subscription; if one already exists, checkout refuses rather than stacking a second.
If ARRIVE has granted your organization a complimentary plan, you'll see "Complimentary plan — ARRIVE has granted your organization full access at no charge" and no plan cards. A complimentary grant is never altered by billing events.
Changing, updating or cancelling
All three happen in Stripe's hosted billing portal rather than in the ARRIVE workspace — with one exception: deleting the organization ends the subscription too, and archiving it stops the subscription renewing at the end of the period already paid for (no refund). The Manage billing button opens it, and it appears once you have a subscription — paying or lapsed. Changing plan, updating the card on file and cancelling are all done there and take effect through Stripe.
The workspace shows your renewal date on the Current plan card ("Renews …") and updates itself from Stripe.
When a payment fails
If a renewal payment fails, we keep trying over the next two weeks, and Pro, including ARRIVE AI, stays on while we do. Whoever manages billing for your organization gets an email, and the workspace shows:
Payment issue — action needed. Your last payment failed. Update your card to keep Pro. ARRIVE AI stays on while we retry.
Update your card on the Billing page (Settings → Billing). The warning clears the moment a payment succeeds, and everything carries on.
If the payment still doesn't go through, the subscription ends and your organization moves to Free.
Nothing that is free becomes unavailable because a payment failed. Browsing performers, publishing opportunities, booking, messaging the performers you book, your calendar, events, programs, contacts, reports and every record you have created all keep working. The only thing a failed payment can cost you is what Pro adds: ARRIVE AI.
Read-only is something else entirely
Read-only is not a billing state. It applies only when ARRIVE has suspended an organization, or its admin has archived it, and updating a card will not clear it. When it applies, everything stays readable and exportable, and nothing you have already created is hidden or deleted — but nothing can be created, changed or deleted: no publishing, booking or messaging, no ARRIVE AI, and no changes to events, programs, the calendar, locations and spaces, contacts, assets, members or settings. An archived organization's admin can reactivate it from Settings → Advanced → Danger zone — see Leaving or deleting an organization. The gate is enforced in ARRIVE's database, not just in the interface.
Separately, if ARRIVE has suspended an organization, the workspace says "Organization paused — this organization is suspended. Contact ARRIVE support to restore access." That is not a billing state and updating your card will not clear it.
When you cancel
Cancelling ends the subscription in Stripe. Your organization stays verified, you keep the workspace and your data, and everything free stays free — browsing, opportunities, bookings and performer messaging all continue to work. What ends is Pro, including ARRIVE AI, and it ends at the close of the period you have already paid for, not on the day you cancel. The billing page returns to the Free plan. You can start a new plan at any time.
What this does not do yet
There is no invoice history, receipt list or upcoming-charge preview inside the workspace — those live in the Stripe portal. There is no per-seat pricing, no trial, and no way to move billing between organizations.
