An organization that has ever had a booking is archived, not deleted. That includes a booking cancelled before anyone paid. A booking holds the request, the agreed price, the contract and both signatures, and those belong to the performer as much as to you — so they are kept. Only an organization that has never had a booking can be deleted, and deleting is permanent: there is no undo, no grace period and no restore.
Leaving an organization is a much smaller thing, and reversible: an admin can invite you back.
All of these live at Settings → Advanced → Danger zone.
Leaving an organization
Leave this organization removes you, and only you. You'll lose access to that organization's events, bookings and contacts. Your ARRIVE account stays active, any other organizations you belong to are untouched, and an admin can invite you back later.
You must type the organization's name exactly to confirm. If it doesn't match you'll see "Type the organization name (…) exactly to confirm."
Two situations stop you leaving:
You're the last member.
You're the only member of this organization, so leaving would abandon it. Invite someone else first, or archive or delete the organization from the danger zone below.
You're the last administrator.
You're the only administrator. Give another member the Settings · Administer permission first, then you can leave.
The second rule is enforced by the database as well as the app, so an organization can never be left with nobody able to manage its roles and permissions. You can leave an archived organization the same way.
Archiving an organization
If your organization has ever had a booking, the danger zone shows Archive this organization instead of Delete. It needs the same things as deleting: Settings · Administer, your authenticator if you use one, and the organization's name typed exactly. Any active subscription stops renewing: it runs to the end of the period you've already paid for, with no refund, and then ends. If that can't be confirmed, nothing changes. Booking requests nobody has applied to are closed, so none is left open in the marketplace.
It is refused while somebody is still waiting on your organization:
- a booking is still in progress — waiting for an approval, the performer's answer or your payment, or confirmed and not yet finished;
- a paid booking ARRIVE hasn't finished settling — you can archive once it's complete;
- a booking has an open dispute;
- performers have applied to a booking request — close it first;
- or a booking's state is one ARRIVE doesn't recognise, in which case it's flagged for review rather than waved through.
A paid booking that has finished and been settled does not stop it — archiving keeps it.
What read-only means
An archived organization is read-only for every member. The workspace says "This organization is archived. Its records are kept read-only." You can still open and read everything — events, programs, bookings, contracts, contacts, locations, spaces, files, messages and the activity history — and export your data. You can't create, change or delete anything: no new events or programs, no bookings, no booking requests, no messages, no changes to settings or members. ARRIVE AI is off. Leaving still works.
Reactivating an organization
An organization admin can bring an archived organization back at any time: Settings → Advanced → Danger zone → Reactivate organization, then confirm. If your account has two-factor authentication set up, you need to have signed in with your authenticator.
What comes back: everything that was there — your records, your members and their roles, and your verification. The organization is active again straight away.
What doesn't:
- A subscription that ended when you archived does not restart. Subscribe again from Settings → Billing if you want it.
- Booking requests that were closed when you archived stay closed. Publish a new one if you need it.
- If the organization was archived more than 12 months ago, ARRIVE verifies it again before you can book or publish — a year is long enough for the business behind it to have changed.
Each reactivation is recorded in the activity log, with who did it and when.
Deleting an organization
Delete is offered only to an organization that has never had a booking. If yours has one — even one cancelled before payment — deleting is refused — "This organization has booking history, so it can't be deleted — those records belong to the performers too. Archive it instead: its records are kept, read-only." — and the database refuses it too, from every route.
The delete card only appears if you hold Settings · Administer, and the server checks that again when you press the button. If your account has two-factor authentication set up, you also need to have signed in with your authenticator — otherwise you'll be told:
For your security, sign in with your authenticator code before deleting an organization.
As with leaving, you must type the organization's name exactly.
Deleting removes the organization and everything in it — events, programs, contacts, locations, spaces, assets, messages and activity history — for every member. Uploaded asset files are removed from storage too, not just their records.
The ordering that protects you
Any active subscription is cancelled before anything is deleted. That ordering is the safety property: the worst case of a failure part-way through is "billing cancelled, organization still here" — annoying and fixable — and never "organization gone, card still charged."
If the cancellation can't be confirmed, nothing is deleted at all:
Couldn't cancel this organization's subscription, so nothing was deleted. Please try again — the organization is untouched.
You'll see the same reassurance if billing simply can't be reached.
A booking request performers have already applied to blocks a deletion too — you'll be told how many have applied and asked to close it first. Live booking requests that nobody has applied to don't block: they're closed automatically just before the deletion, so none of them is left sitting in the marketplace without an owner.
Everyone is told
Every member who was active at the moment of deletion is emailed. That email confirms what was removed, that any subscription was cancelled, that it can't be undone, and that their own ARRIVE account and other organizations are unaffected. It isn't governed by any notification preference — it's the receipt for an irreversible action, and it's the only record that survives the organization, since in-app notifications go with it.
Archiving and reactivating send no email: nothing is removed, and every member sees the change the next time they open the workspace.
If something goes wrong part-way
The deletion is verified after it runs. In the rare case it doesn't complete, you'll get one of two messages, both naming where to go:
The organization could not be deleted. Its subscription has been cancelled — contact support@arrivebooking.com so we can finish or reverse this.
The organization still exists after deletion. Contact support@arrivebooking.com.
If you see either one, contact support@arrivebooking.com and quote the message. Don't retry blindly — the subscription may already be cancelled, and support can tell you exactly which half of the operation completed.
What this does not do yet
There is no way to transfer an organization to another owner or to schedule a deletion for later. There's no self-service export triggered by deleting or archiving either — if you want a copy of your records, take one before, from Exporting your data. Nothing warns you that you haven't.
If a booking that will never settle on its own is stopping an archive, contact support rather than trying to work around it — they can resolve it with you.
