Contacts is where your organization keeps the venues, sponsors, agencies, municipalities and people behind your entertainment program — every relationship, note and follow-up in one place.
Find it under Relationships → Contacts. You need the CRM permission to open it.
Adding contacts
- Add Contact creates one by hand. Only Name and Contact type are required. Contact type is free text — Venue, Sponsor, Agency, Municipality, whatever fits your organization.
- Import takes a CSV. It needs a header row containing a
namecolumn; it also recognisestype, company, role, email, phone, website, city, notesandtags. Tags may be separated with;or|. Rows without a usable name are skipped and listed for you before you commit the import. A single import can carry up to 1,000 rows, and every imported contact starts as Active.
Both buttons need the CRM · Create permission.
What a contact holds
Alongside the basics — company, role, email, phone, website, location — a contact carries:
- Status — Active, Inactive or Archived.
- Next follow-up — a date. Contacts whose follow-up has passed are counted in the Follow-Ups Due card and their date is highlighted in the list.
- Tags — free text, comma-separated. Use them to slice the list with the Tag filter.
- Notes — private internal notes. They stay inside your organization and are never shown to anyone outside it.
Linking a contact to a marketplace performer
If a contact is someone you book, you can link them to their ARRIVE marketplace performer through Edit → Linked marketplace performer. Doing that turns on the contact's Bookings tab and fills in Total bookings and Total spend from your organization's own booking history with that performer.
Two things worth knowing:
- The link is for display only. It does not add that performer to your performer roster — that is a separate list.
- The figures are your organization's record with them, not their marketplace-wide history.
Meetings and documents
Each contact has a Meetings tab for logging calls and meetings — title, time, location or video link, agenda and notes, with a Scheduled / Completed / Cancelled status. There is also a Documents tab for attaching files from your asset library.
Note that attaching a document is governed by the Organization Profile permission, not by CRM — so a member with full CRM access may still be unable to attach files.
Removing a contact
There is no delete. Archive is how a contact is removed: it drops out of your active lists and keeps its history, and it can be reactivated later. This is deliberate — a relationship record is history, and history is not something a member can erase.
What Contacts does not do yet
To save you looking: there is no search box on the Contacts list (filter by tab, Type and Tag, or use the workspace-wide search), no sorting or pagination controls, no bulk actions, and no way to assign the Owner field from this screen. Exporting contacts is done from the organization-wide data export in Settings, which needs the Reports · Export permission.
ARRIVE AI is not offered on Contacts. A contact's record is mostly your own notes and their contact details, which ARRIVE AI is never given — see Where ARRIVE AI appears.
