Your asset library

Assets is your organization's brand and media library — logos, photos, brand kits and documents, kept in one place and attachable to the records that need them.

Find it under Organization → Assets. Access is governed by the Organization permission module. The page itself asks for "the Organization Profile permission" and the permissions editor labels the same module simply Organization — they are one and the same thing. Uploading needs Organization · Create; editing, archiving and attaching need Organization · Edit.

The storage behind Assets is a private bucket. Nothing in it has a public address. Every preview, download and open button works by minting a fresh, signed link at the moment you click it:

  • Previews on the library and on a record's Documents tab last 1 hour.
  • Download / open links last 60 seconds.

That has one practical consequence worth remembering: a link you copy out of ARRIVE stops working. Do not paste a download URL into an email, a chat message or a document and expect anyone to be able to open it — even you, a minute later. Share the file by attaching it to the record, or download it and send the file itself.

What you can upload

  • Up to 25 MB per file.
  • Images — JPEG, PNG, WebP, GIF, SVG.
  • Documents — PDF, Word (.docx), PowerPoint (.pptx), Excel (.xlsx), plain text, CSV.
  • Archives — ZIP.

Anything else is refused before the upload starts.

Uploading

Upload asks for the file plus a short form: a Name (it fills in from the filename, and needs at least two characters), a Category (Logo, Photo, Brand kit, Document or Other), optional comma-separated Tags, and an optional Description. The file goes straight from your browser to storage, so a large file will not time out the form.

Category and tags are free text underneath, so the five categories offered are a starting vocabulary rather than a fixed set. Both drive the Category and Tag filters on the library.

Versions

Open an asset and you get a Versions panel.

New version uploads a replacement, with an optional note describing what changed. The new file becomes the live one everywhere — the library thumbnail, every download, and every record it is attached to. The file it replaced is kept as an older version and stays downloadable from that panel. You can add a note to each version so the history reads as a history rather than a pile of files.

You cannot yet make an older version current again. Restoring is not built. If you need the previous file back as the live one, download it from the Versions panel and upload it as a new version.

An asset uploaded before versioning existed, or one that has never been replaced, shows a single v1 · Current entry describing its live file.

One honest oddity: the library's header carries a Versions — Soon button and the tab row carries a Versions — Soon tab, while versions genuinely work on each asset's own page and the Versions KPI counts real stored versions. The two "Soon" labels on the library are stale; trust the asset page.

Attaching files to other records

Documents are attached from the record that needs them, not from Assets. Open an event, program, booking, contact, location or a saved performer, go to its Documents tab, and pick from your library.

  • Only Active assets appear in the picker.
  • Attaching and detaching need Organization · Edit; any member can read what is attached. This is worth knowing on a Contact — full CRM access does not include attaching files.
  • The reverse view lives on the asset: a Used in panel showing every record it is attached to.
  • Detaching removes the link, never the file.

Nothing is deleted

There is no delete in Assets. Archive is how a file is retired: it drops out of the Active tab, stops counting toward your asset total and storage used, and disappears from the attach picker. The record and the file itself both remain, and the asset can be made Active again at any time.

Two things archiving does not do: it does not detach the asset from records it is already attached to, and it does not free the underlying storage.

What the asset library does not do yet

To save you looking: there is no search box (filter by tab, Category and Tag), no sorting or pagination, no bulk actions, and no hard delete. Two KPI cards read Soon with their reasons — AI-Tagged (no auto-tagging engine exists yet) and Shared Links (there is no share-link feature, so there is nothing to count) — alongside an AI Tagging button and tab that do nothing.
