Reports and what each figure measures

7 min read Updated October 25, 2026Last reviewed October 25, 2026

Reports is drawn live from your organization's own bookings, events, programs, locations and performer relationships. Nothing on the page is estimated, projected or scored.

Several figures on it count bookings, and they do not all count the same bookings. This article says exactly what each one measures.

You need Reports · View to open the page. Reports · Edit lets you save a report. Reports · Export lets you download a report as a CSV and have it emailed on a schedule.

By default, Owner, Executive, General Manager, Marketing Manager and Finance Manager hold Reports · Export. You can give it to another role in Settings → Permissions — see Roles and what each one can do.

The five figures at the top

  • Total Bookings — every booking on your account, in every status. Cancelled and pending bookings are included in this count.
  • Booking Value — the sum of agreed amounts across confirmed and completed bookings only. The card itself says "Confirmed + completed" under the number. Pending, cancelled and every other status contribute nothing here. This is money committed, not money collected.
  • Events — every event that has not been archived. The line beneath it counts upcoming events: dated today or later, and not cancelled, completed or archived.
  • Active Programs — programs that are not archived and whose status is active.
  • Performer Relationships — the performer relationships your organization has saved. This is your saved list, not the number of performers you have booked.

Bookings by Status

Every booking, grouped by its lifecycle state, with a count and a value for each.

The value column here is the total for that status, so unlike the Booking Value figure above it does include cancelled and pending amounts in their own rows. The bar shows that status's share of all your bookings. A status with no bookings is left out rather than shown as a zero row.

Booking Value by Location

Confirmed and completed bookings only, grouped by location — the same definition as the Booking Value figure at the top, so the two always reconcile.

Bookings with no location on them appear as their own Unassigned location row rather than being dropped or folded into another location. Locations you have since archived still show their real name.

Location Activity — activity counts, not occupancy

Events and bookings per location over the last 90 days.

The card carries this caveat in the product, and it is worth reading twice:

Activity counts, not occupancy — a reliable utilization percentage needs capacity and duration data that isn't captured yet.

So: these are counts of things that happened, not a measure of how full or how busy a space was. A location with four all-day events and a location with four one-hour events look identical here.

Two more differences from the card above it:

  • The bookings counted here are in any status, not just confirmed and completed.
  • A booking is counted by the date of the event it is for. A booking with no event date is not counted.

Rows are ordered by total activity, and activity with no location assigned appears as its own row.

Relationship Summary

  • By relationship — your saved performer relationships, broken down by kind, with the total.
  • Top booked (by value) — your five highest-value performers, ranked by spend across confirmed and completed bookings only.

Saved reports

Below the cards, Saved reports lets you keep a report to run again or have emailed on a schedule.

A saved report holds a name and a choice of sections — Summary, Bookings by status, Revenue by location, Performer relationships. At least one section is required. All four are ticked by default.

Saving needs Reports · Edit.

Choosing Email weekly or Email monthly also needs Reports · Export. Without it, Schedule stays on Don't send automatically and says: "Needs Reports · Export — a scheduled email sends the report as a file."

Scheduling

Three options: Don't send automatically, Email weekly, or Email monthly. There is no daily option and no custom cadence.

Recipients must be members of your organization

Recipients are chosen from a checkbox list of your organization's active members who hold Reports · Export. There is no field in which an outside email address can be typed, and one cannot be stored — the product records recipients as people, not as addresses. The panel says why:

Only active members of this organization who hold the Reports · Export permission can receive a report — reports carry your booking and revenue data, so there is no option to send to an outside address.

If nobody holds it yet, the list says "No active members with Reports · Export."

A scheduled report needs at least one recipient, and can have at most 25. To send figures to someone outside your organization, export the CSV and send it yourself.

Membership is re-checked at the moment of sending, not only when you saved the report. Someone who has left your organization stops receiving it, without anyone having to remember to edit the schedule.

Reports · Export is re-checked at sending too. If a recipient's role no longer has it, they stay on the saved report, marked "won't receive — no Export", and that send skips them. Give their role Reports · Export again and they receive the next one.

The same goes for the person who set up the schedule: while they don't hold Reports · Export, the report is not sent.

How a scheduled report arrives

On its due day, the report is rendered from the same aggregates you see on screen, attached as a CSV, and emailed to the current recipients. Everyone on the list also gets an in-app notification, so a delivery is visible in ARRIVE even if the email is missed.

Cadence is measured from the scheduled time rather than from when the send actually happened, so a report does not drift later each cycle. A run can only ever be claimed once, so a delay cannot produce duplicate emails.

A period with nothing in it sends no email — and tells you so

If your organization recorded no bookings, no events, no location revenue and no performer relationships in the period, no email is sent. An unsolicited recurring email that says nothing is worse than silence.

But the run still happens, and you still get the in-app notification — "nothing to report", with the reason. A schedule that silently stopped would be worse than either.

Exporting

CSV is the only export format. There is no PDF and no spreadsheet format.

  • Export current view (CSV) downloads everything on screen.
  • Run now on a saved report downloads that report with its saved sections. It downloads — it does not email.

Both need Reports · Export. Without it, Export current view (CSV) is greyed out, with "Export: ask an admin for Reports · Export." under it. Run now answers: "You don't have permission to export this. Ask an admin for Reports · Export."

A section you have included but have no data for appears in the file with a (no data) row rather than vanishing, so a missing section always means you deselected it. Values that begin with =, +, - or @ are written with a leading apostrophe — a spreadsheet would otherwise treat a location name starting with one of those as a formula.

What Reports does not do yet

  • There is no date-range filter. Every figure is all-time, apart from Location Activity's fixed 90-day window.
  • A saved report cannot be edited. Delete it and save a new one.
  • Nothing on this page is exported as a chart or an image.
  • Marketplace Match Score is the one card on the page marked Coming soon. There is no matching model behind it yet, so no score is shown rather than a fabricated one.

ARRIVE AI adds two things to this page — an Executive Summary paragraph and Insights beside the figures. Both are covered in Where ARRIVE AI appears, and both can be switched off.
