Locations and spaces

5 min read Updated October 25, 2026Last reviewed October 25, 2026

A location is your address; spaces are the rooms inside it. The sidebar item is called Spaces, but the page it opens is Locations & Spaces, and what it lists is your locations. So the first thing you do here is create a location — the address where your entertainment happens — and then add the spaces inside it: a room, a patio or a stage.

Find it under Organization → Spaces. You need the Spaces permission to open the page. Creating or importing a location needs Locations · Create; editing or archiving one needs Locations · Edit; adding a space or a layout needs Spaces · Create or Spaces · Edit. It is possible to be able to see this page and not be able to add anything to it.

Creating a location

New Location asks for a Location name (required, at least two characters), Address line 1, Address line 2, City, State / Province, Country, Postal code, Time zone and Status (Active, Suspended or Archived).

The location's Time zone is the one its opportunities and bookings use; each keeps it once made.

When you save a new location, it opens on its Spaces tab, where Add a space is the main button. Stray commas and spaces at the ends of address lines, city, state and postal code are removed on save.

There is no latitude or longitude field. That matters for the map — see below.

Importing locations from a CSV

Import takes a CSV, pasted or uploaded. It needs a header row containing a name column. Header matching is case-insensitive and ignores spaces, underscores and hyphens, so Postal Code and postal_code are the same column.

Recognised columns, with the alternatives accepted for each:

ColumnAlso accepted as
namelocation, location name
address_line1address, address1, street
address_line2address2
citytown
stateprovince, region
postal_codepostal, zip, zipcode
country—
latlatitude
lnglon, long, longitude

A single import can carry up to 1,000 rows. Rows with a missing or too-short name, or a latitude or longitude outside its valid range, are listed as skipped in the preview before you commit — nothing is silently dropped. Every imported location starts as Active; Timezone and Status cannot be imported.

The Export button downloads the locations currently on screen as a CSV, including each location's reference code, coordinates, and its counts of spaces, programs and upcoming events.

Creating a space

Inside a location, Add Space asks for a Space name (required), Type (free text — Ballroom, Lounge, Patio, whatever fits), Capacity and Status.

Then a block of Space Attributes, all of them free-text notes: Indoor / Outdoor, Equipment, Power, Lighting, Audio, Accessibility, Restrictions, Booking rules, Available hours and Preferred entertainment.

After you add a space

The new space opens with Next steps for [space]:

  • Create an event in [space] — opens New Event with the location and space already filled in.
  • Find a professional for [space] — opens New Booking showing professionals in the location's city. (Search works by city and category; nothing searches by space.)

Each line shows only if you can do it.

Layouts

A space can hold named Layouts — the ways it can be set up. Each has a Layout name, a Setup type (Theater, Banquet, Cocktail, Classroom, Reception or Custom — Custom unless you choose otherwise), an optional Capacity in whole seats, Notes, and a Make this the default layout for the space checkbox.

No layout is default until you make one. Only one can hold it at a time — setting a new default clears the previous one. Unlike locations and spaces, a layout can be deleted outright.

The map view, and why it is probably empty

The List / Map toggle switches the explorer to a map view: every location that has coordinates, with an Open in Maps link, and below it a panel naming every location that has none.

That second panel is usually the long one, and here is why: the location form has no coordinate fields. Latitude and longitude only ever arrive through the lat and lng columns of a CSV import. Nothing geocodes an address. A location you typed in by hand will sit under “No coordinates yet” until you re-import it with coordinates.

Removing a location or a space

There is no delete. Archive is the only removal, from the location's own page or from the Archive button beside a space. An archived record drops out of every list and every picker.

There is no restore button. Setting Status back to Active on the edit form does not bring it back either — archiving stamps a separate archive date that the interface never clears, and it is that stamp, not the status, that hides the record. If you archive something by mistake, contact ARRIVE support.

An event's location or space can't be removed while the event has a live booking — see Creating and running an event.

Three things this page does not do

Worth knowing before you rely on any of them:

  • Capacity is not enforced anywhere. A space's capacity, and a layout's, are recorded, shown and exported. Nothing compares them to an event's expected attendance, and nothing warns you or blocks a save when the numbers do not fit.
  • Booking rules and Available hours are notes, not rules. They are free text on the space record. No part of ARRIVE reads them, enforces them, or checks a booking against them.
  • Nothing prevents two events being scheduled in the same space at the same time. There is no constraint and no block when you save. The entertainment calendar will flag the overlap afterwards, as advice.

What this does not do yet

The locations list has no search, sorting or pagination. On a location's Overview, Manager, Opening hours and Entertainment capacity are marked Soon, as are its Calendar and Reports tabs. There is no geocoding, so coordinates only ever come from an import.
