The fastest way to overpay for an event is to compare quotes on price alone. A $1,200 act and an $1,800 act are rarely offering the same thing — one includes travel, sound, and a backup plan; the other is a headline number with a stack of add-ons hiding underneath. Professional planners normalize every offer before they compare a single dollar.

Price Is Not Value

Cheap and expensive are meaningless on their own. Value is what the night actually delivers for what you pay: the experience your guests have, the reliability you can count on, and the headaches you avoid. A higher quote that includes production, travel, and a proven track record is often the better value than a bargain rate that quietly bills for all of it later — or worse, no-shows.

Normalize Every Quote to Total Delivered Cost

Rebuild each offer as the all-in cost to actually pull off the night, then compare those numbers — never the headline rates. Put every quote in the same columns:

  • Base performance fee and exactly what set length / number of sets it buys
  • Travel, lodging, and per diem — included or billed separately?
  • Production: who supplies PA, lighting, and backline
  • Overtime rate and what triggers it
  • Deposit, cancellation terms, and any platform or processing fees

Read the Reviews — and Read Between the Lines

Reviews are your best predictor of how a booking will actually go. Look for volume and recency, not just a high average, and read for patterns: do clients mention punctuality, professionalism, and reading the room?
